Purpose

To provide information about OSC's archive schedule and instructions to agency staff members who have access to PS Query.

Affected Employees

Staff who enter time entry transactions and those who have access to the PS Query database.

Background

OSC will archive time entry transaction data on a quarterly schedule in order to improve overall system performance and to reduce the run-time for queries that access the time entry table. Time entry transactions are stored in the NY_Time_Detail table. The data in this table is not necessarily what was actually paid to the employee due to possible changes that can be made in the final paycheck calculation and confirm process. Once completed, the paycheck data is then stored in several other tables.

OSC Action

OSC will archive records with a Pay End Date prior to January 1, 2000 to a new table, NY_Time_Detail_Arc. The Time Entry Archive process will only affect the data in the NY_Time_Detail table. A public query, 00-TimeEntryArchive, has been created that will allow agencies to retrieve records from the archived table. The query will include prompts for the DeptID, the EmplID field and a range of Pay End Dates (the last day of the pay period.) Archived information will not be available through online panels.

Agency Action

Run the 00-TimeEntryArchive public query if it is necessary to retrieve time entry transaction data for pay periods prior to September 1, 1999.
