Purpose

To provide procedures to the Office of Mental Health (OMH) for new Time Entry Earnings Codes to be used to report Extra Service.

Effective Date(s)

OMH agencies may begin submitting Extra Service transactions using the new Earnings Codes beginning in Pay Period 11L, paychecks dated 9/22/11

Background

New Extra Service codes were requested by OMH to enable them to more easily track the number of hours worked, the specific program in which the extra service occurred, and to differentiate regular extra service straight pay and overtime payments for 7.5 and 8 hour employees.

OSC Actions

OSC has created the following Time Entry Earnings Codes to be used by OMH agencies to report Extra Service:

Agency Actions

Beginning in Pay Period 11L, agencies must submit Extra Service transactions on the Time Entry page using the following procedures:

Earnings Code: Enter appropriate Earnings Code from the chart above
Earnings Begin Date: Enter date Extra Service began
Earnings End Date: Enter last date of Extra Service
Hours: Enter Number of Hours
Amount: Enter the Amount for Earnings Codes ER1, ER4, ER5, ER6, EC2, EP2, and EH2.
(Amounts will be calculated automatically for Earnings Codes ER2, ER3, EC1, EP1, and EH1.)

Payroll Register and Employee Paycheck/ Advice

The new Earnings and Retro Codes and their descriptions will be displayed on the Payroll Register and appear on the employee’s paycheck or direct deposit advice.
