Making Adjustments to Earnings and Days Worked

Enhanced Reporting

If you need to correct a member’s earnings or days worked, submit an adjustment using Retirement Online.

Adjustments can be included in your regular report file. You can only adjust previously reported data.

  • If you are adjusting Days only, you only need Transaction 3 on the report. You cannot adjust the deductions.
  • If you are adjusting Earnings only, you will need both Transactions 3 and 4.
  • If you are adjusting Days and Earnings, you will need both Transactions 3 and 4.
  • If you are adjusting multiple earnings codes for the same month, a Transaction 4 row will be required for each code.

When submitting an adjustment, your adjustment should add or subtract from the previously reported data in order to correct it in our system – Retirement Online will not override previously reported data.

Example: An employee was previously reported for 10 days and $1,000 in earnings but should have been reported for 20 days and $2,000 in earnings.

Your adjustment will include 10 days and $1,000 in earnings.

10 days + 10 days = 20 days

$1,000 earnings + $1,000 earnings = $2,000 earnings

Example: An employee was previously reported for 15 days and $1,500 in earnings but should have been reported for 10 days and $1,000 in earnings.

Your adjustment will include -5 days and -$500 in earnings.

15 days - 5 days = 10 days

$1,500 earnings - $500 earnings = $1,000 earnings

If you submit an adjustment that results in a member owing mandatory contributions, Retirement Online will notify you that a deficiency service credit purchase (SCP) has been created for that member which will result in contributions owed in a later report. You will receive a deficiency notification for each impacted member and each member will also be notified of their deficiency SCP in a letter from NYSLRS.

Do not send payment for the employer portion of any salary adjustment with your adjustment report. You will be charged or credited accordingly in a future annual bill.

Do not make an adjustment to a member’s SCP, loan payments or contributions. These fields should always say 0.00 for an adjustment (you can enter 0.00 in these fields or leave them blank).

You can also make adjustments by submitting a manual adjustment report rather than uploading a file. You may find this easier if you are correcting a single record or just a few records.

Adjusting to Zero Days Worked and Contribution Overpayments

If you need to make an adjustment that will result in zero days worked for the member, you must submit a paper Adjustment Report (RS2050).

Also, if you reported and paid more in member contributions than an employee owes, you can adjust reported information and request a contribution refund by submitting the paper Adjustment Report. Be sure to complete the section of the Adjustment Report that indicates whether the adjustment will result in a refund of contributions owed to the member. If you check yes, NYSLRS will begin the contribution refund process.

Please complete one paper Adjustment Report for each member whose reported information needs to be adjusted.

Completed Adjustment Reports can be emailed as attachments to NYSLRS Employer Reporting or faxed to 518-474-9898.
