New York State Payroll Online (NYSPO) Employee Address Update Functionality

Purpose:

The purpose of this bulletin is to inform agencies of new functionality allowing employees to update their addresses and payroll options in NYSPO.

Affected Employees:

All active employees of New York State enrolled in NYSPO.

Background:

Maintaining up-to-date addresses for employees enables New York State to provide high quality payroll services. Addresses are used for such critical tasks as direct employee contact, mailing of Form W-2 statements, mailing of paycheck and direct deposit advices, determining employee tax status, and when applicable, locating next-of-kin.

It is essential that PayServ contains correct and current address information for all NYS employees. In an effort to improve the timeliness and accuracy of employee address updates in PayServ, employees now have the ability to maintain their own address information in NYSPO.

Effective Dates:

This functionality will become available in NYSPO on November 17, 2023.

Eligibility Criteria:

To be eligible, employees must be active in PayServ, employed with a NYS agency participating in NYSPO, and have a government issued NY.gov account associated with their employee ID.

OSC Actions:

OSC will add new NYSPO functionality available via the ‘Update Personal Information’ hyperlink on the NYSPO home page to allow NYS employees to see and edit their Check, Home, and Mailing address types, as well as make changes to their Payroll Options, which determine where pay statements and correspondence such as their annual W-2 statement is mailed.

Employees can make one change per day to each address type. These changes will load to PayServ nightly, with the exception of changes made on a Confirm day. These changes will load on the following days nightly batch schedule in order to prevent issues when pay stubs are printed.

OSC has developed a Job Aid (View Update Home, Check or Mailing Address) for employee use which can be found in the Get Help section of the NYSPO webpage.  Additionally, OSC has included several messages within the address and payroll option update functionality to assist employees when making these changes in NYSPO, which are included in the Job Aid.

Agency Actions:

Agencies should work with their Information Technology units to ensure updates are made to communication and websites that reference NYSPO.

This query will allow agencies to identify all employees in their department with changes to their address information.
